ECOSCAPE OUTDOOR SERVICES
PREMIUM LAWN & LANDSCAPE MAINTENANCE AGREEMENT
Our Commitment to Excellence
Exceptional properties deserve exceptional care.
Ecoscape Outdoor Services was founded to provide a higher standard of lawn and landscape maintenance for homeowners who value quality, consistency, communication, and attention to detail. Every property we maintain reflects our reputation, and we approach every visit with the same level of care and professionalism we would expect at our own homes.
We are not a basic lawn mowing company. We are a professional property maintenance company dedicated to preserving the beauty, health, and long-term value of your property.
Every service is performed according to what we call The Ecoscape Standard. This standard requires every visit to reflect craftsmanship, professionalism, attention to detail, consistency, and respect for your property.
The policies contained in this agreement exist to protect the quality of our work, the condition of your property, the safety of our employees, and the consistency of your service experience. By establishing clear expectations, we are able to deliver the premium level of service our clients expect and deserve.
1. SERVICES
Your Customer Proposal defines the services included in your maintenance program and forms part of this agreement. Routine maintenance may include lawn mowing, precision edging, string trimming, blowing of walkable surfaces, shrub and hedge trimming, trimming of smaller ornamental palms, landscape bed maintenance, spot weed control, and general cleanup associated with the services performed during each visit.
Services not specifically included in your Customer Proposal require separate approval and pricing. Examples include landscape renovations, landscape design, new plant installations, sod installation or replacement, irrigation repairs, landscape lighting, larger palm trimming, tree pruning or removal, mulch or decorative rock installation, drainage improvements, pressure washing, seasonal cleanups, storm cleanup, hauling, and other specialty services.
Routine maintenance includes the removal of ordinary debris created during our visit. Removal of large debris piles, excessive leaf accumulation, storm debris, construction materials, landscape waste, or debris intentionally left for pickup by the Customer is not included in routine maintenance and may result in additional labor, hauling, disposal, or cleanup charges.
Our crews use professional judgment when determining mowing height, mowing patterns, service methods, staffing, equipment, and scheduling. These decisions are made to protect your property and ensure every visit meets the Ecoscape Standard. Our objective is never to finish as quickly as possible.
Our objective is to finish according to the Ecoscape Standard.
2. SERVICE SCHEDULE
Your monthly investment is based on an annual maintenance program designed specifically for South Florida's growing conditions. Our standard maintenance program includes approximately thirty-nine scheduled service visits each year. Service frequency increases during periods of active growth and decreases during slower growing months. This seasonal approach provides the proper level of care throughout the year while maintaining predictable monthly billing.
Customers who prefer weekly service throughout the entire year, including the non-growing season, may elect that option for an additional monthly fee. If a Customer chooses to increase service frequency after this agreement begins, the monthly service rate will be adjusted to reflect the additional services provided.
Service days may occasionally change due to weather, holidays, equipment repairs, staffing, route adjustments, or other operational needs. While we make every effort to maintain a consistent schedule, specific service days and arrival times cannot be guaranteed.
3. PROPERTY ACCESS AND PREPARATION
To allow our crews to perform work safely and efficiently, Customers agree to provide reasonable access to the property before each scheduled visit. Gates should be unlocked, pets secured, and vehicles moved from service areas whenever practical. Customers are also responsible for removing pet waste, toys, hoses, lawn furniture, and other obstacles that interfere with normal maintenance.
If our crews cannot safely access the property, or if excessive obstructions prevent routine maintenance, service may be postponed or skipped. Regular service charges will still apply when service cannot be completed because of conditions within the Customer's control.
Customers are responsible for identifying hidden hazards, fragile property, irrigation components, shallow utilities, invisible fencing, and other concealed objects that may be damaged during routine maintenance. Ecoscape is not responsible for damage to hidden or improperly installed items or for conditions beyond our reasonable control.
4. WEATHER
Weather is one of the few conditions beyond our control. Our crews continuously monitor weather conditions and make service decisions based upon safety, turf health, property protection, and overall service quality. We will never knowingly perform work that we believe will damage your lawn or landscape simply to remain on schedule.
Weather-related delays do not reduce monthly billing because your maintenance program is based upon annual service rather than individual weekly visits. Ecoscape reserves the right to delay, reschedule, or modify service as weather conditions require. No refunds, service credits, discounts, or reductions in monthly service fees will be issued due to weather-related delays, route adjustments, changes in the scheduled day of service, or other weather-related interruptions beyond Ecoscape's reasonable control.
5. COMMUNICATION
Professional communication is an important part of the Ecoscape experience. Customers may receive service reminders, arrival notifications, completion notices, invoices, weather updates, service recommendations, and other important account information through email, text message, telephone, or other approved communication methods.
All requests regarding scheduling, billing, additional work, or changes to your maintenance program must be directed to the Ecoscape office. Crew members are not authorized to modify this agreement, approve additional services, change pricing, or alter your maintenance schedule while working in the field.
6. BILLING & PAYMENTS
Monthly payments are due on the first day of each month. Accounts not paid within ten (10) days are subject to a $15.00 late fee.
A 3% convenience fee applies to designated electronic payment methods. Customers may avoid this fee by using one of Ecoscape's approved no-fee payment options.
Accounts must remain current to continue receiving service. Ecoscape reserves the right to suspend or discontinue service for unpaid balances.
7. CUSTOMER PORTAL
Ecoscape provides each Customer with access to our secure online Client Portal, where important account information is available for your convenience.
Through the Client Portal, Customers may view service schedules, completed services, estimates, invoices, account balances, payment history, and other account information. Customers may also approve estimates, make secure online payments, and enroll in automatic payments for added convenience.
The Client Portal is available at: https://www.ecoscapeoutdoor.com/portal
Customers are encouraged to use the Client Portal as the primary resource for managing their Ecoscape account. If you need assistance accessing the portal or have questions regarding your account, please contact our office.
8. CANCELLATION
This agreement is based upon an annual maintenance program. Either party may terminate this agreement by providing thirty (30) days written notice.
Because service frequency is greater during the primary growing season, early cancellation before completion of the annual program may result in a seasonal service adjustment if the value of services already performed exceeds the payments received.
Weekly year-round maintenance plans are priced separately and remain subject to the selected service level.
9. ENTIRE AGREEMENT
This agreement, together with the Customer Proposal and any approved change orders, represents the complete agreement between the Customer and Ecoscape Outdoor Services.
Ecoscape understands that every property is unique. From time to time, Ecoscape may approve property-specific arrangements or service accommodations for a particular Customer. Examples include moving patio furniture, opening or closing gates, avoiding designated areas, following special access procedures, or other mutually agreed upon service requests.
Any approved exception applies only to the specific Customer and property for which it was authorized. Such accommodations do not modify this agreement for other Customers and do not establish a continuing obligation unless confirmed by Ecoscape. Ecoscape reserves the right to discontinue or modify any approved exception if property conditions, staffing, safety, operational needs, or service requirements change.
Ecoscape may photograph the property before, during, or after service for documentation, quality control, estimating, training, customer communication, or service verification. Photographs that clearly identify the property will only be used for advertising or promotional purposes with the Customer's permission.
Ecoscape exercises reasonable care while performing all services but is not responsible for hidden irrigation components, improperly installed utilities, concealed objects, pre-existing property conditions, pest damage, plant disease, drainage problems, weather-related damage, acts of nature, or conditions beyond our reasonable control.
This agreement has been intentionally written in plain language to clearly communicate the expectations and responsibilities of both the Customer and Ecoscape Outdoor Services.
By using our service, the Customer acknowledges that they have read this agreement, understand its terms, and agree to the services, policies, and conditions described herein.
